Billing Terms

1. Plans and Pricing
CareLedgerPro is available on the subscription plans shown on our Pricing page.
Standard — £49 per care service per month.
Standard is our single subscription plan and includes the full ledger, audit log, and sign-off capabilities with no client or user limits. It does not include invoicing, family-portal access, or split-funding features, because CareLedgerPro does not provide those capabilities.
Prices are exclusive of VAT where applicable. Plan features, limits, and inclusions are set out on the Pricing page and may be updated from time to time.
2. Billing Cycle
Subscriptions are billed monthly in advance from the date the paid subscription begins. Payments are collected automatically using the stored payment method through our PCI-DSS-compliant payment processor. An invoice is issued for each successful payment and is available in the in-app billing settings.
3. Free Trial
New customers may be offered a free trial. During the trial:
no payment is taken; paid features remain available; and no automatic upgrade occurs without explicit consent.
If the trial ends without a paid subscription being started, access to paid features will be suspended. Controllers may request an export of their data during this period.
4. Metered Usage
Billing is measured by the number of care services on the account. If the number of care services changes:
the monthly charge is adjusted accordingly; no silent overage billing will occur without explicit consent; and any change is reflected on the next invoice.
5. Upgrades
Upgrades take effect immediately. The current billing period is prorated, and the customer pays only the difference for the remaining days in the cycle. New plan limits and features apply as soon as the upgrade takes effect.
6. Downgrades
Downgrades take effect at the end of the current billing period. No refund is issued for unused time on the higher plan unless required by law or expressly agreed otherwise. Lower plan limits apply once the downgrade becomes active.
7. Cancellation
Subscriptions may be cancelled at any time through the in-app billing settings. After cancellation:
access continues until the end of the paid period; the account then enters a read-only export window; data is retained for export before deletion in accordance with the Data Retention Policy; and no further charges are applied after cancellation.
8. Failed Payments
If a payment fails:
the payment processor may retry automatically; if retries continue to fail, the account may enter a past-due state; write actions may be suspended until billing is restored; and data remains retained during this period.
Controllers will be notified of failed payment attempts where possible.
9. Price Changes
CareLedgerPro may update pricing with reasonable prior notice. Existing subscribers will be notified in advance of any change taking effect at their next renewal. Controllers may downgrade or cancel before the new price applies.
10. Taxes and Invoices
VAT is applied where legally required. Invoices and receipts are issued automatically for each successful payment and are available in the in-app billing settings.
