Record a purchase
Open the client, choose Add transaction, select Purchase, enter the amount and category, and attach the receipt.
Add a deposit (money in)
Open the client, choose Add transaction, select Money In / Deposit — this adds to their balance.
Record petty-cash spend
On the transaction, set the funding source to Petty Cash; the relevant unit's float is reduced automatically.
Upload a receipt
Attach a photo or file when adding the purchase, or upload it later from the transaction's page.
Capture a signature
Sign on screen when prompted for cash given to a client or higher-value spends.
Resetting your password
You can reset your own password. On the sign-in page, choose Forgot password?, enter your registered email, and follow the secure link we send you. If you don't receive the email, check your spam folder before contacting your administrator.

Account & access issues
If you cannot sign in, your account is locked, or you need a role or house assignment changed, contact your system administrator or registered manager. Staff cannot grant their own roles — these changes must be made by an administrator.
Data access & erasure requests
Requests to access, correct or erase personal data (for staff or service users) should be directed to the care provider's Data Protection Officer. See the Privacy Notice for details of your rights under UK GDPR.
Reporting a problem
If something isn't working as expected, note what you were doing and any error message shown, then report it to your administrator so it can be investigated. Do not attempt to alter or delete records to work around a problem — every change is recorded in the audit log.
Reporting a suspected data breach
Report any suspected data breach immediately — for example:
- a lost or stolen device
- a misdirected email
- paperwork left unsecured
- someone accessing records they shouldn't
Speed matters: serious breaches must be reported to the ICO within 72 hours.
Tell your manager or administrator straight away, then log it in the Breaches area so the incident is recorded and the response timeline starts.
Financial discrepancies
If you spot a discrepancy in a balance, petty-cash float or transaction, flag it to a manager immediately. Transactions can be voided with a reason but are never silently deleted, preserving the append-only record.
Policies & compliance documents
The documents your auditor, DPO or registered manager will usually ask for:
- Data Protection Impact Assessment — processing description, risk register and mitigations
- Fraud Prevention & Staff Accountability — what is expected of everyone using an account
- Backup & Disaster Recovery — how records are protected and restored
- Processor & Article 28 Statement — who processes data on our behalf, and under what terms
